Using VetVantageMD to Manage Your Clinical Availability and Appointments

1. Accessing VetVantageMD

VetVantageMD welcome screen

After your account is created, you will see the VetVantageMD welcome screen. Select Get Started to enter the application and access your provider dashboard.

2. Understanding the Provider Dashboard

The dashboard provides a quick summary of your current workload. From here you can see:

  • Upcoming Appointments – scheduled visits for the selected day
  • Incomplete SOAP Summaries – encounters that still require documentation
  • Appointment Requests – pending patient requests awaiting action
  • Daily Timeline and Monthly Calendar – a combined view of time slots and the month

3. Opening the Calendar View

Use the left navigation menu and select Calendar to see your full monthly schedule. The calendar view allows you to:

  • Browse by month using the navigation arrows
  • Filter by patient name using the search field
  • Toggle visibility of default hours, adjusted schedules, vacations, and appointments

4. Setting Your Hours of Operation

Quick-add controls

Your availability for scheduling is controlled from the Hours of Operation section. This defines when the system can book appointments for you.

Each day of the week has:

    • An On/Off toggle to enable or disable availability for that day
    • Up to three time intervals per weekday (for example, morning and afternoon blocks)

After adjusting your hours, select Save to apply the schedule. The effective date is shown under the schedule so you can confirm when the changes take effect.

Under Paients 
This will list all patients assigned to you. 
  1. + – add a new patient
  2. Past Clients – view patients

5. Viewing Appointments from the Dashboard

Once your availability is configured and appointments are scheduled, they appear in:

  • The Upcoming Appointments card on the dashboard
  • The Daily timeline (left schedule column)
  • The Calendar month view

6. Verifying Support Availability in Zoho Desk

If you also respond to tickets in Zoho Desk, verify that your My Availability status is set to Online so that email-based support remains active while you work in VetVantageMD.

Open the Zoho Desk profile menu and review the My Availability section at the top. Ensure that:

  • The availability toggle is turned On
  • Your primary channel (for example, Email) shows a green online indicator

Adjusted Schedule and Vacation Days

Use this section to configure exceptions to your normal schedule (one-off changes or days off).

Adjusted schedule (top section)

  • Set custom availability for a specific date.
  • Overrides your normal recurring hours without changing your weekly schedule.
  • Date: choose the day you want to adjust.
  • Unavailable: mark the entire day as unavailable.
  • Time range: select start and end times when available.
  • Trash: removes the entry.
  • Save: applies changes.










Vacation Days (bottom section)
  • Set up to 3 vacation periods when you’re completely unavailable.
  • During vacation dates, your schedule is closed and patients cannot book.
  • Start Date / End Date: defines the vacation range.
  • Note (Optional): add a short reminder.
  • Trash: deletes the vacation period.
  • Save: applies changes.
